Waikiki Aquarium Facility Rental Information

The Waikiki Aquarium offers its facility for special uses such as reception and birthday parties.  Fund raising, merchandise and product sales, and political functions are not allowed.  We require all functions held at the Waikiki Aquarium to be smoke-free.  Beer and wine may be served upon approval by the Waikiki Aquarium Director.

Reservations may be made one year prior to the function on the first business day of the month, but not later than 4 weeks prior to the scheduled function.  If reservations are made less than 4 weeks prior to function date, renter will be assessed a late fee.

Rental Hours:
Facility rental hours are nightly except Wednesday from 5:15 PM - 10:30 PM including set-up and clean-up time.  All set-up must be done after 5:15 PM and deliveries cannot be accepted before 5:15 PM.  All functions must conclude at or before 9:30 PM.

Rental Fee:   (subject to change)
$750.00 rental charge for 75 people, which includes the security staff fees.  There is an additional $6.00 per person over the minimum 75.  There is no charge for children under 5 years of age.  The deposit of $750.00 is required to confirm your reservation.  Any balance due on the rental must be paid upon completion of the function.

Rental of table and chairs may be arranged through the Development Office.  Tables (6' x 30") are rented for $9.00 each.  Folding, padded chairs are rented for $2.00 each.  We require the renter to provide tablecloths for all tables rented from the Aquarium. 

Security Staffing Fee: (subject to change)
Security staff are on duty during each function.  The security staff fee is included in the $750.00 rental fee, which covers the rental for the first 75 guests.

An additional security staffing fee of $75.00 is applicable in each of the following cases:

  • Alcohol is served
  • Guest count exceeds 200 guests
  • Guest count exceeds 300 guests
  • Guest count exceeds 400 guests

The responsibility of the staff on duty is to provide security to the Aquarium, prevent damage or injury to the exhibits, grounds and animals.  They also provide direction and help answer questions, control lights, prevent food and drinks from being consumed in the exhibit and carpeted areas of the facility, prevent unauthorized persons from entering the facility during the function, monitor noise levels of the music and inform the renter if any complaints are received.

Overtime Fee:   (subject to change)
If the function goes beyond 10:30 PM, the renter will be assessed an overtime fee of $5.00 per minute, and an addition fee of $150.00 for the security staff.  The overtime fees are due with the balance of the rental payment.

Staff Duties:
The responsibility of the staff workers is as follows:

  • To provide directions and help answer questions
  • Control the lights
  • Prevent food from being consumed in the carpeted areas
  • Prevent unauthorized persons from entering the facility during the function
  • Monitor sound level of entertainment and inform the renter if complaints are received
  • Prevent damage or injury to the exhibits, grounds and animals.
The staff workers are not hired to set-up or take down tables and chairs, nor are they expected to clean up after the function.

Membership Fee:
The renter is required to be a member of the Friends of the Waikiki Aquarium.  A $60.00 minimum membership sign up will entitle the renter and their family to a full year of benefits.  Refer to our membership brochure for full details.

Other information:
The exhibit galleries will remain open until 9:00 PM.  The SeaVisions Theatre and The Natural Selection Shop are closed during evening functions.  In an effort to be a good neighbor, all entertainment must be of good taste and moderate volume.  The Aquarium management must pre-approve all entertainment and will not allow excessive noise on the premises.  Live rock bands and amplified music are not allowed.

All food must be ready to serve.  Cooking is not allowed on the premises.  Kitchen and clean-up facilities are not available.

If the renter provides their own equipment such as tents, canopies, tables and chairs, a $100.00 service will be accessed to the renter.

The Waikiki Aquarium will not be responsible for equipment and rentals left on the premises after the conclusion of the function.

Rental arrangements and reservations are made through the Development Office.  The rental contract must be reviewed, signed and returned to the Waikiki Aquarium - Finance Department accompanied by the required deposit and membership fee.  The Development Office will confirm the rental after approval from the Aquarium Director is received.  The renter is required to arrange a site visit with the Development Office staff.

Beer and wine may be served during the function if approved by the Aquarium Director.  Alcohol must be served at one station and monitored at all times.  Guests are not permitted to have coolers with alcohol at their table.  Alcohol service ends at 9:00 PM or one hour prior to renter's end time, whichever is earlier.

If the Waikiki Aquarium's Development and Finance Development receives written notice of cancellation more than three months prior to the scheduled function, a refund of the deposit minus a service fee of $ 400.00 will be issued six to eight weeks after the cancellation is processed.  If written notice of cancellation is received less than three months prior to the schedule function, no refund is due to the renter.  All other rental and membership fees are non-refundable.

The Waikiki Aquarium will not be responsible for failure to carry out arrangements due to inclement weather, power failures or conditions beyond our control.  The Aquarium reserves the right to cancel any facility rental agreement due to circumstances beyond our control.
